Administrative Assistant

MWYF is looking for an Administrative Assistant to provide support for our youth serving nonprofit. Responsibilities will be varied in this fast paced, growing organization. This position will provide front desk support as well as support for the members of the leadership team. The successful candidate will have strong computer skills as well as be able relate to and assist a diverse multicultural audience of children and youth (5-18), parents, other staff, donors and volunteers.

This position may be a full time position (35-40 hours per week) or may be adjusted to 25-30 hours per week for the right candidate seeking part time work.

Responsibilities

  • Manage the front desk area including answering phones and greeting/assisting visitors

  • All program and organization clerical and filing, including direct support for Executive Director

  • Light bookkeeping assistance including preparing deposits, recurring donations, bill payment and coding, including the monthly American Express bill.

  • Extensive database input including program attendance, student demographics, student nutrition recording and administration, volunteer hours, etc.

  • Inventory control and online purchasing

  • Coordination of designated program services activities including sponsor a champion and others

  • Payroll preparation and coordination

  • Assist leadership team and other staff where needed

  • Occasional errands

  • Other duties as assigned

  • Occasional weekend and evening hours required.

Qualifications

  • Proficient in Microsoft Office Suite

  • Strong data entry/typing skills

  • Design software experience a plus but not required (photoshop, indesign, etc.)

Education & Experience

  • AA degree or related experience

  • Willingness to complete required trainings during first year of employment

  • Must have a current Florida driver’s license and a 3 year clean driving record

Teen Program Manager

The Teen Center Manager is responsible for the primary oversight of the middle and high school programs as well as the oversight of the new Teen Center (scheduled completion December 2019). This is a salary exempt position reporting to the Director of Program Services. This position will be a Tuesday to Saturday position once the Teen Center opens (January 2020) but will be Monday-Friday will occasional Saturday prior to that time. The Teen Center Manager will supervise the Teen Center Program Coordinators and part time program staff.

Responsibilities

  • Provide comprehensive oversight of the middle and high school after school program, providing academic and enrichment activities and overseeing program outcomes. 

  • Manage and increase the effectiveness and efficiency of all middle/high school program services and events as well as Teen Center classes, activities, trips and events.

  • Provide a variety of reports and tracking systems as requested by funders, supervisor and the Board of Directors.

  • Recruit, train and supervise all Teen Center staff including staff discipline reports

  • Provide all necessary reports for funders, board of directors and supervisor including attendance, budget and daily program activities.

  • Develop and implement a curriculum and a daily schedule including Friday’s and special events for middle school students.

  • Oversee the  HS Board of Directors to develop and implement high school classes, activities and trips

  • Provide quarterly analysis of report cards, test scores, school absences/tardies, with parent follow-up

  • Ensure all staff is up to date on training requirements

  • Organize and manage a variety of elective curriculums as well as social and educational events for middle and high school students (including college tours, teen nights, etc.)

  • Ensure requirements for grant funding/programs  are implemented for Teen Center

  • Serve as the primary staff member to communicate program discipline concerns and parent program concerns

  • During program hours, monitor and supervise all aspects of the middle school  program including staff supervision, parent concerns, student discipline and incident reports, as needed.

  • Supervise the Teen Center during evening and weekend activities and events.

Program Staff - Part Time

Part Time staff members are needed for our after school youth development program.  Program staff will work in a variety of positions providing support and activities for youth in kindergarten through high school. 

There are two separate programs we are staffing for:  Elementary (K-5th Grade) and Leadership (Middle & High School).  Candidates will have strong classroom management skills and be able to assist with homework and conduct enrichment activities.

Candidates must be available (at a minimum) 3pm-5:30pm Monday-Thursday, although full shifts are from 2:30pm-6pm Monday-Friday.

Past experience working with children (paid or volunteer) is a plus.

Successful candidates must pass a full background screening. Drug Free, EOE.
